The
Mission of the University Calendar
The Vanderbilt University Calendar follows the University's mission of service to the community by providing a one-stop source of event information for Vanderbilt students, faculty, staff, parents, alumni and the Nashville community. As part of our service to the Vanderbilt and Nashville communities, the Calendar Office offers free training for those interested in learning more about using the Calendar.


Submission Policy

Who can submit:
The Calendar is free and open to all registered student groups and organizations and the Vanderbilt community, including programs that partner with the University or the
Medical Center. The Calendar is also available to members of the Nashville Community to list their annual fundraising events, along with major events that include concerts, performances, etc.

Vanderbilt University reserves the right to decline submission of any event as it sees fit.

A quick overview of the online submission process:

· Go to the top of this page and click Promote: Submit Your Event to the Calendar

· Follow the instructions and enter your event information. Please note:

    • Keep your "Event Title" short and to the point
    • Select an Audience for your event: Alumni only; By invitation only; Faculty and Staff only; Faculty only; Open to the Public; Staff only; Students only; VU Community only; or Unspecified. Choosing a specific category will let people know whether or not they can attend your event.
    • The "Description" field box is important -- this is where you will place the remaining details of your event, such as cost; if reservations are necessary; and a contact number and e-mail.

Double-check each field and the information you have provided before clicking on the "Submit Event" button.

You should receive a message thanking you for your submission or an error message with details. If you receive an error message, simply press your browser's "Back" button to return to the submission form. Make the corrections and click the "Submit Event" button.

Turn around time
Event submissions are reviewed by the Calendar Office before they are posted to the Calendar. Most events are posted within hours of their submission; please allow 24 to 48 hours for posting if the event is submitted late afternoon, weekends or during a holiday period.

If you need to change information about your event after it has been submitted, contact the Calendar Coordinator at university-calendar@vanderbilt.edu or (615) 343-6887.


Free Services Offered by the University Calendar
Why publicize your events, such as annual lectures, special speaker events, fund-raising projects, meetings, socials, etc., with the Calendar? Because the Calendar connects you to the Vanderbilt community and beyond, quickly and easily. The Calendar also offers other free services:

  • Events may be highlighted on the Calendar's homepage
  • Events may be highlighted on the main Vanderbilt homepage
  • Events may be highlighted on the myVU homepage
  • Events may be listed in myVU Preview, a bi-weekly email for faculty and staff
  • Events can be exported into desktop calendar programs, such as iCAL, Mozilla or Outlook
